We are seeking a highly organized and proactive Project Coordinator (“PC”) to support successful project execution by managing the operational and administrative aspects of our projects from start to finish.

ROLE HIGHLIGHTS
Project Operations & Coordination
You will partner closely with Project Managers (“PM”) and engineering teams to support successful project delivery. From project setup and tracking to documentation and closeout, you will help ensure projects run efficiently and align with HGI standards.
Organization & Process Ownership
You will maintain accurate project records, drive schedules and deliverables, support project communication, and proactively identify opportunities to improve processes and keep projects moving forward.
Team & Client Support
You will collaborate with internal teams, clients, and project stakeholders to ensure clear communication, alignment of expectations, and efficient project execution.
Quality & Attention to Detail
You will play an important role in maintaining HGI’s commitment to quality by ensuring project information, documentation, and administrative processes are accurate and complete.
RESPONSIBILITIES
- Coordinate project activities from setup through closeout, ensuring information, documentation, and records remain accurate and organized.
- Partner with PMs and engineering teams to drive project schedules, track deliverables, and proactively keep projects moving from initiation through closeout.
- Set up and maintain project information within HGI systems, including project details, contacts, schedules, and status updates.
- Assist with proposals, contracts, project correspondence, and documentation management.
- Coordinate meetings, track action items, and support communication between internal teams, clients, and other project stakeholders.
- Support project invoicing, accounts receivable follow-up, and project closeout processes.
- Review project documents for formatting, consistency, completeness, and adherence to HGI standards.
- Assist with team coordination, including scheduling, travel arrangements, and other project-related support needs.
- Participate in team meetings and contribute ideas for process improvements and increased efficiency.

EDUCATION AND EXPERIENCE
- High school diploma, GED certification, or equivalent required.
- Prior experience in the architecture, engineering, or construction (“A/E/C”) industry preferred.
- Experience supporting project teams, coordinating schedules, managing documentation, or performing project administration responsibilities.
- Experience with systems such as Unanet, Deltek Vision, or similar Enterprise Resource Planning (“ERP”) platforms preferred.
